Mountain leader: Terms and conditions

Written by Fiona November 10 2025

Please read these carefully if booking a guided outing with me.

Booking and payment

Please contact me using my contact form  or call 07803 970 425 to discuss your requirements and to check availability.

If you decide to proceed with a booking, you will be sent an invoice, a participation form, and a kit list, along with joining instructions.

If your booking is made more than 4 weeks before the activity is due to take place, payment of a non-refundable deposit (25% of the total cost) is required to confirm your booking. By paying the deposit, you agree to pay the balance (75% of the total cost) no later than 4 weeks before the activity is due to take place. If the booking is made less than 4 weeks before the activity date, full payment (100% of the total cost) is required to confirm your booking.

Details of how to make payment will be shown on your invoice.

Cancellation

If you need to cancel your booking, please contact me by WhatsApp or email (fionaoutdors@gmail.com) as soon as possible. If you cancel up to 4 weeks before your activity is due to take place, a refund will be made, less the non-refundable deposit.

If you cancel less than 4 weeks before your activity is due to take place, no refund will be made.

In the unlikely event that I need to cancel your booking, you will be offered a full refund, or the opportunity to transfer your booking to an alternative and mutually-agreeable date.

In the event of cancellation, by you or by me and for any reason whatsoever, I am not liable for any additional costs, such as transport or accommodation, that you may have incurred in relation to the booking.

I recommend you take out cancellation insurance, for example through the British Mountaineering Council.

Participation form

Please complete and return your participation form to me as soon as you can after booking. If booking on behalf of a group, each participant must complete and return a participation form.

Participation forms for people aged under 18 should be completed by a parent or guardian.

Medical declaration

You will be required to complete and return a medical declaration before undertaking any activity. This will declare that you are physically fit to take part in the activity that you have booked, and detail any medical conditions, medication or injuries that might affect you.

I recommend you consult your GP or other medical professional if you have any doubts regarding whether a given condition will affect your ability to participate safely. For details of how this information will be treated, please refer to Privacy Policy.

Equipment

You will be sent a detailed kit list at the time of booking. You are responsible for ensuring that you are appropriately attired and equipped for the activity being undertaken. I reserve the right to deny your participation if, in my opinion, allowing you to participate may jeopardise the safety of yourself or others.

Amendment to plans

For your safety, it may be necessary to amend the plan for your activity, for example due to adverse weather on the day. In such cases, I will aim to find a constructive alternative. I can’t guarantee the completion of any particular route or a summit on a given day.

Photography

During the activity, I may wish to take photographs of you, for advertising, marketing and other promotional purposes. I will ask fro your express permission to allow (or not) such photographs.

Young people

People under the age of 18 are welcome to participate, but they must be accompanied at all times by either a parent or legally-appointed guardian.

Dogs

Please discuss the participation of your dog/s with me prior to the booking.

Personal data

For the purposes of fulfilling the obligations of the General Data Protection Regulation (GDPR), see my Privacy Policy.

Participation Statement

By booking with me, you acknowledge that you have read and understand the Mountaineering Scotland Participation Statement: “Mountaineering Scotland recognises that climbing and mountaineering are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own actions and involvement.”

You acknowledge the risks associated with the activity and understand that, while I will make every effort to mitigate such risks, they cannot be removed entirely.

I strongly recommend that you take out personal accident insurance.

Legal

These Terms & Conditions form the basis of your contract with me and are governed by Scottish Law.
